This Privacy Policy explains how TheMeanOne Developments ("we," "us," "our") collects, uses, and protects information when you use Nexus Bot and associated services ("the Service"). By using the Service, you agree to the collection and use of information in accordance with this policy.
Discord User Data (via Discord OAuth2):
- Discord User ID (numeric identifier)
- Username and discriminator
- Avatar hash (used to display your profile picture in the dashboard)
- List of Discord servers you are in (to show your manageable servers)
Server Activity Data:
- Message counts (number only — we do NOT store message content)
- XP and level data per user per server
- Moderation logs (action type, user ID, moderator ID, reason, timestamp)
- Ticket metadata (channel ID, open/close timestamps)
- Server configuration settings (welcome messages, automod rules, etc.)
Payment Data: Payment processing is handled entirely by PayPal. We do not store credit card numbers, bank details, or full payment information. We store only transaction references, license keys, and plan status necessary to provide your subscription.
We do NOT collect:
- Message content or DMs
- Voice activity or recordings
- Passwords or authentication credentials
- IP addresses beyond standard server access logs
We use the collected data solely to:
- Operate and improve the Nexus Bot service
- Authenticate you via Discord OAuth2
- Display your server management dashboard
- Track XP, levels, and moderation actions per server
- Process and validate license keys and subscriptions
- Send service-related communications (billing receipts, critical service notices)
- Prevent abuse and enforce our Terms of Service
We do not use your data for advertising, profiling, or sell it to any third party under any circumstances.
Server data: When Nexus Bot is removed from a Discord server, server-specific data (settings, moderation logs, XP data) is retained for 30 days for recovery purposes, then permanently deleted.
User data: User account data is retained for as long as you use the Service. If you wish to delete your data, contact us at support@nexusbot.online with your Discord User ID and we will process your request within 30 days.
Payment records: Transaction records are retained for 7 years as required by financial regulations. This data is stored securely and is not used for any purpose other than legal compliance.
We use the following third-party services:
- Discord API — Required to operate the bot. Subject to Discord's Privacy Policy.
- PayPal — Payment processing. Subject to PayPal's Privacy Policy.
We do not integrate with advertising networks, analytics platforms, or data brokers.
We implement industry-standard security measures including encrypted connections (HTTPS/TLS), secure session management, and restricted database access. However, no method of transmission over the internet is 100% secure. We cannot guarantee absolute security but are committed to protecting your data using commercially reasonable means.
The Service is not directed at children under 13 years of age. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, contact us immediately at support@nexusbot.online.
You have the right to:
- Access — Request a copy of the data we hold about you
- Correction — Request correction of inaccurate data
- Deletion — Request deletion of your personal data
- Portability — Request your data in a machine-readable format
- Opt-out — Remove the bot from your server at any time
